Getting started
What is CarePartner?
CarePartner is coordination and compliance software that sits between care providers and the agencies they subcontract to. It covers shift cover, verified visits, progress notes, incidents, invoice matching and audit evidence, all on one record.
Who is CarePartner for?
Aged care and disability providers who subcontract care to agencies, the agencies themselves, and their care workers. Providers use CarePartner to fill shifts, verify visits and keep audit-ready evidence. Agencies use it to accept shifts, deliver visits and get paid faster.
Does CarePartner replace our rostering system?
No. Your rostering team keeps booking visits in your rostering system, exactly as today. CarePartner picks up the visits marked for agency cover and writes the note, the proof and the invoice back against the same visit ID.
How long does it take to get started?
Most providers are live within six weeks. Week one connects your rostering system and single sign-on. Week two builds your agency panel, tiers and rate cards. Weeks three to six run a pilot on real visits with two or three of your agencies.
Providers
Which systems does CarePartner work with?
CarePartner connects to AlayaCare, Visual Care, Skedulo, Brevity, Connect Care, Shift Care, Microsoft Suite and Power BI. It also supports email and Excel intake, SSO with Microsoft Entra ID and Okta, and an open API with webhooks.
How are shifts offered to agencies?
Once a visit is marked for agency cover, CarePartner offers it to your panel in tier order at agreed rates. The first agency to accept with a named, cleared worker gets the shift. You can also offer directly to one agency, or use urgent mode for same-day gaps.
How does CarePartner prove a visit happened?
Workers check in and out through a secure link on their phone. CarePartner records their location, a home code and a server timestamp at each check-in and check-out. The visit is marked verified when all checks pass.
What happens if a worker is late?
If a worker hasn’t checked in ten minutes after the visit was due, the agency is alerted. At fifteen minutes, your rostering team can re-offer the shift as urgent in one tap. Every step is time-stamped for the record.
Agencies
How do we join?
Accept the invite from your provider, or sign up and we’ll connect you to the providers you serve. Add your workers and their screening once, and you’re ready to accept shifts.
What does CarePartner cost for agencies?
Agencies pay $1.50 per verified visit. That covers shift offers from every provider in one inbox, worker links, check-in, progress notes and an invoice builder. There are no per-worker fees, ever.
Do our workers need an app?
No. Workers get a secure link by text for each visit. It opens in any smartphone browser and works offline. There is no app to install, no account to create and no password to remember.
How do we get paid faster?
CarePartner builds invoices from verified visits at your agreed rates. There is nothing to dispute, so providers can pay faster. The invoice builder is included for every agency.
Care workers
I didn’t get my visit link.
Links are sent by text the morning of the visit. If yours hasn’t arrived, ask your agency — they can resend it straight away. You do not need a CarePartner account or password.
When is my location recorded?
Only at the moment you check in and check out. Never in between, never off shift. Your agency, as your employer, will give you written notice before the pilot starts.
What happens to my voice recording?
It is deleted once you confirm the note. The words stay with the note, but the recording itself is gone.
What if I can’t scan the home code?
You can still check in. The visit is marked partly verified and the rostering team reviews it. Repeated misses are flagged to the agency so the code can be replaced.
Pricing
How much does CarePartner cost providers?
Core is $3.90 per verified visit, with a $750 monthly minimum. Most providers start with a $7,000 pilot that is credited to the first year. Enterprise pricing is available for multi-site providers.
What counts as a verified visit?
An agency visit that checked in and out through CarePartner. Partly verified visits count once your team approves them.
Why per visit, not per user?
Because value grows with the agency care you deliver, not with how many people log in. Rostering, clinical, admin and finance, and IT teams are all included.
Security and privacy
Where is our data stored?
In Australia. CarePartner runs on Australian data centres, and your data never leaves the country.
How do you protect our data?
TLS 1.2 or higher in transit, AES-256 at rest, enforced multi-factor authentication, least-privilege access, and annual independent penetration tests. All changes are recorded in an append-only audit trail.
Can we see your security documents?
Yes. We provide a security overview, a pre-completed security questionnaire and a standard data processing agreement. Ask your CarePartner contact or email security@carepartner.com.au.
